No Changes Needed to Test: You can try worxTMS with your Xero system immediately—no changes are required. Our system will automatically apply default settings for any fields it cannot read, and after integrating, you’ll see why those small recommended adjustments help everything run smoothly.

Step 1: Create Two Xero Contact Groups ("Drivers" and "Carriers")
Before connecting, create two dedicated contact groups in your Xero account, named Drivers and Carriers. This is a one-time setup and takes just a minute.
- Why Groups? They allow worxTMS.com to automatically sync your drivers and carriers with Xero.
- How to Create:
- Go to Contacts in Xero.
- Click Groups or "New Group".
- Create one named Drivers, and one named Carriers.
- Save both groups. Done!
- Important: Spelling must be exact — Drivers and Carriers.

Step 2: Assign Your Contacts
Assign relevant drivers and carriers to the newly created groups:
- Select contacts in Xero and click "Add to Group".
- Choose either Drivers or Carriers.
- You’re always in control—edit groups anytime.
Step 3: Connect worxTMS.com to Xero
- Click "Connect to Xero"
- Login with Xero credentials
- Complete MFA if required
- Allow access to worxTMS.com
- You're Connected!
Your Data, Your Xero, Your Process
- No Data Stored: worxTMS.com reads data from Xero when needed. It never saves, copies, or edits it.
- Contacts Managed in Xero: Add/remove drivers and customers directly in Xero. worxTMS.com syncs them automatically.
- Invoices Are Drafted Only: You remain in charge. We only create draft invoices.
- Offline Mode: If Xero disconnects, fields fall back to defaults—never blocking your workflow.
Delete or Update an Invoice
If you need to delete an invoice already created, simply Void or Delete it in Xero. worxTMS will automatically detect the change and:
- Remove the invoice from worxTMS so you can create it again without conflicts.
- Update any changes to Customer Ref / Order Number made in Xero.
- Sync updated pricing, service, or totals back to worxTMS automatically.
Even easier: If you’ve already created the invoice but only need to change the Price, Ref No, Service, or other details, there’s no need to void or delete. Simply update the invoice in Xero, and these changes will be sent to worxTMS automatically. No worries about data mismatches, duplicates, or manual updates!
Shipment Workflow: Xero Integration
- Create contact groups: Drivers and Carriers.
- Add contacts to the groups.
- Login to Xero via worxTMS.com.
- Start creating shipments and exporting draft invoices.
- If Xero is disconnected, system falls back to defaults.
- Reconnect any time. Full privacy control.
